Social Media Policy

A social media policy is an internal rule set determining who may speak on the company's behalf on social networks, which information stays confidential and how employees express themselves when their employer is identifiable. It supplements existing employment and confidentiality obligations.

In practice

A workable policy fits on two pages and answers concrete questions: who has access to the accounts, who approves posts, what happens when a critical comment arrives at the weekend and what applies to photographs of customers? For photographs of customers, record that consent from the people shown is to be obtained before publication; the right to one's own image under section 78 of the Austrian Copyright Act may stand in the way of publishing. Set out explicitly that company credentials are not kept in private password stores and are withdrawn when someone leaves. Write the policy as guidance rather than a list of threats; excessive prohibitions get circumvented and are only enforceable to a limited degree under employment law anyway. Discuss the document once with the team, because a filed policy helps nobody in a real incident.
